After year end, what does "Cannot initialise NI Calculations for 2011" mean?

You are running a version of the software that dates from a time when 2010/11 PAYE and NI bands and rates weren't known. You need to download and install the current version of the software from our website.
 
If you were registered with us you should have received an email on this subject in the last month (and the general issue of what needs to happen at year end). Perhaps you haven't registered, or your spam filter is eating our emails, or your email address in our system is incorrect.

Why are my year end reports (P11, P35, P60) empty when I request them?
The most common reason for this is that you are requesting the wrong year.

On the company form, where you request year-end reports, there is a box entitled "Report Year Ends". You should enter the year for company reports and internet submissions in that box (currently usually 2010)

After starting the new year why am I still getting last year's P11 and P32 reports when I request them?
You can request those reports for whichever year you want. On the company form there is a box, "Report Year Ends". You probably need to change that box to 2011.

Where in the software can I print out P14s?
12Pay cannot print out P14s. These are submitted electronically to HMRC if you have purchased the premium edition of the software.

Why do I get an authentication failure when I try to do an internet submission?
Here are the things that need to be correct to avoid an authentication failure...

  • Internet ID is your 12 letter user ID from HMRC
  • Password is the password that goes with that 12 letter user ID

You can check those by logging into the HMRC gateway manually. If you do that successfully you'll be able to see on that web page....

  • Tax office (a 3 digit number)
  • PAYE Reference (the reference quoted to the right of your tax office on HMRC correspondance to you)

You need all 4 of those things correct before the submission will work. If any one of them is incorrect you just get the authentication failure message that you've probably already seen.
 
Common errors include confusing 0 and O (zero and oh), or confusing 1, I, or l. (one, eye, or ell)
Another common error is entering the HMRC Payment reference where your tax office PAYE reference should go.

Why are my year-end reports missing month 12 or week 52/53?
You only get pay details onto the company-level year-end reports after you've completed the pay period. So you have to move on from month 12 to month 1 of the following year, or likewise from week 52/53 to week 1 of the following year. Then you'll see the data from the final pay run in the year-end reports.

Why has an employee got NI table "X" on their P60?
If an employee doesn't earn up to the NI Lower Earnings Limit then the zero value line is shown as X rather than A. This is correct, according to the HMRC instructions and test data that we've received.

Can I see full details of my internet submission?
The internet submission is a combination of the P35 summary report and P11 reports, with additional employee information such as birthday and address.

If you want to see exactly what was submitted click the Reports button on the company form, selected "Open Reports Folder", and open the document P14-2008.xml. The first 25 lines or so of that document are HMRC authentication gobbledegook but the rest of the document is a fairly readable list of P35 summary values and P14 employee details.

How do I alter the entries on the P35 summary?
Some of the numbers cannot be altered, because they are totals from the P14s. Others can be altered, and you do this on the Internet Return form that you can call up from the Company Form. You can also select which questions on the Declaration you want to tick here. After you've done that, and sent off at least a Test submission, you can print a P35 which shows the entries that you made.
