Can you please tell me if

1.   Is it possible to print a list of Payment & Deduction codes

      or

2.   Can I download the details into an Excel spreadsheet

   I would like to do this to devise and develop my nominal code entries

Downloading the payment code list into Excel:

  1. On the company form in 12Pay press the XML export button, and save the result as export.xml
  2. Open export.xml in Excel; select the XML Source task pane option when asked how to open the xml file
  3. Drag ns1:PayElement from the task pane into the working area of the spreadsheet
  4. On the List toolbar in Excel select the Refresh XML Data button. When we do this we get an error message, but the import still seems to work.
Good luck! Be sure to share any pitfalls that you find if you get this to work.

I am using Excel 2002 -  and whilst I am able to use the "open with" facility I don't get the XML Source task pane option.

Also Excel tells me that there are too many rows or columns in the file to fit in Excel.

Ah, you may need Excel 2003 for those instructions. That is what we've got.

Unless, maybe it is worth opening Excel, then use Excel's File/Open option to open export.xml (you'll have to override the default search) and see what options you get then. Probably just the same as you already got, but it might be worth a try.

An alternative to try if you have Microsoft Access is to import export.xml into an MS Access database. Create a new blank database, do File / Get External Data / Import, and open the export.xml table. In Access 2003 the system immediately creates a set of tables for you including PayElement, which is the one you want. That technique works a treat with MS Access 2003, really fast and easy.

Thanks for this response.

I've not managed to do anything within Excel but I've now got the data in Access. The only remaining problem is that I've never used Access so I guess now's the time to learn.

I would still prefer to use Excel if possible though, so any further thoughts would be much appreciated.

Once you've got the data in Access you can just open the table, select the lot by clicking in the top left, then copy and paste into Excel if you prefer it there.

Or just go into table design mode on the Payelement table in Access and add whatever columns you need (and delete whatever columns you have no interest in), then edit the info in Access.
