Why is 12Pay Ltd giving free payroll software away?
We believe that you will want to buy the Premium Edition of 12Pay Payroll once you have tried the free Express Edition. The Premium Edition has additional valuable functionality, including several payslip formats, reports, and the ability to file internet P14 and P35 with HMRC at year end. Filing year end information by internet is compulsory from 09-10 onwards.
The free Express Edition allows you to trial some of the premium features for the first 6 payroll processing periods. In particular larger employers are likely to need to upgrade after that because they'll want to carry on printing payslips. But smaller employers who don't need payslips are welcome to continue using the free software indefinitely.

What are the benefits of buying the premium licence for the 12Pay payroll?
A premium licence unlocks additional software functionality. Express users can do test submissions of year-end P14/P35 data to HMRC but only premium users can do live submissions. This has the benefit of saving you time, and from 09/10 it is compulsory to submit year-end data through the internet. Premium edition users can print payslips and a wide variety of reports and you can trial one payslip format and the reports for 6 periods in the Express Edition.
If you are a premium user the red copyright text at the foot of reports changes to light grey, almost invisible. Many reports are available in the Premium Edition and we allow you to trial most of these in the Express Edition for 6 payroll weeks or months.

What does “HMRC Accredited” mean?
It means that the software has been checked and is certified by HM Revenue & Customs as meeting the Payroll Standard accreditation requirements of HM Revenue & Customs for software packages for the period 26/02/2009 to 25/02/2010. It incorporates online filing capability by Internet.

What hardware and software do I need to run 12Pay Payroll?
You need a PC running Microsoft Windows 2000, XP, Vista, or Windows 7. In addition that PC needs the Dot Net 2 Framework installed on it, and the Adobe Acrobat viewer installed on it. Many modern PCs will already have both of those products installed on them. They are available free of charge and can be downloaded from the web if you need them.

My bank’s software is not on the list of supported net pay formats. Can anything be done?
Yes. Please let us know if you would like the 12Pay payroll to support another format for net pay files. Ideally ask your bank to contact us with the technical specification of the file that their banking software requires. Unless it is unreasonably difficult to meet that specification we will add your bank’s electronic payment software to the supported list of formats, and you will be able to download a 12Pay payroll software update that provides the net pay files that you need.

Can I run 12Pay Payroll on a PC running Windows 98 or Windows ME?
Possibly, but you may have problems. We recommend that you upgrade to one of the more modern Microsoft operating systems if you want to use the 12Pay Payroll.

Do I need to buy any special stationery?
No. We do not want to be in the business of supplying our payroll users with special stationery. Payslips can print on blank paper (A4 or A5), and so do P60s (the document you give your employees at the end of the year). Paper P14s are not required, because they are submitted through the internet, and P45s print on the standard-issue Inland Revenue laser cut P45 sheets. Starting from October '08 (when HMRC rules permit this) P45s will be printed on blank paper as well. All other reports print on blank paper too.
Naturally if you want to print payslips on pre-printed blanks we offer that feature to Premium Edition users. There are 2 different selfseal mailers and several different lasersheet designs.

What happens when payroll legislation changes?
We keep 12Pay payroll abreast of payroll legislation. Downloading an updated copy of the software is free, and your current data will be updated automatically whenever the scope of the legislation changes permits that.

What happens when there are new tax bands, NI bands, or other updates?
You will need to download a 12Pay payroll software update after the spring budget, (when the Chancellor announces next year’s tax bands). That update can be loaded straight away, because it will continue to use the old bands automatically until the new bands are activated.

Can I get training to help me start using the 12Pay payroll software?
Our users tell us that the software is very easy to use. Naturally it ships with a windows help file so you can get answers about the software at any time just by hitting the F1 key.
But to begin with we appreciate that users will not yet understand how to do everything. So we have provided instructional videos. The first instructional video takes less than 10 minutes to watch, and it covers your first steps using the software, including setting up a payroll, setting up employees, calculating pay, printing reports, and preparing for the next period. Further videos which explain other areas of the software are also available to registered users.
